Don't Forget: You're a Designer _ must be professional Imagine this, you're at an expensive restaurant. Every detail is perfect: the food was fantastic, the service excellent and the atmosphere rich and plush. Then, you receive the bill, which is printed on cheap paper with low_quality ink. What would you remember about this experience? Most people spend hours on their website design, business cards and resumes but then use a template for their invoice. The invoice is your last contact with your client, and it should share the attention to detail, branding and style of your other elements. By creating a beautiful, clear invoice, you are saying that you care about the little details. Most importantly, make sure you have all the necessary information. Make sure there are no spelling mistakes and that your spacing is consistent. Customize your invoice as much as you can. Your logo is a must, but colors and a style that match your other branding items will make it a joy to pay (well, as much as is possible).
Non_PO related invoices need to be coded and approved by the original procurer. Previously this was an entirely manual process, with each invoice being posted via the internal mail from AP to the individual who codes the invoice, then returned to AP, then sent out to the procurer of the goods to authorise This process was not only time consuming but fraught with errors and the risk of invoices getting lost. IMS now routes each invoice to be coded and authorised by the correct individual. Some invoices are automatically sent by IMS and others are routed by the AP clerk If the system is not entirely confident of this selection, the AP user will initiate the distribution of the invoice to the procurer for authorisation. If they do not have the correct sign_off limit, IMS determines the appropriate individual to forward it to until final approval is achieved. Once the data has been captured from an invoice, it has been successfully matched to a PO or it has been approved by the business, it is posted automatically to the finance system for payment.
Maybe it's time to move to a paperless, web_based invoicing! Because, what is a business without a healthy cash flow? Only an expensive hobby, eating your existing assets and your valuable time. Your business will reach its full potential only when your ideas can be turned into sales, and those sales into money! And all the stages in this process have to be done as quickly and efficiently as possible! That is impossible to achieve without setting up a proper invoice tracking software.
